Accounts Payable Specialist

The Role

We are looking for an Accounts Payable Specialist to join our dynamic team.  In this role, you will be responsible for working with multiple departments to ensure payments are made to vendors.  You will receive, verify, and reconcile invoices, code them to the general ledger, and process for payment, using a high degree of accuracy to enter data into the accounting system.  Additionally, this role will continuously evaluate opportunities to increase effectiveness of the AP process, ensure compliance with internal procedures, and partner closely with internal customers.  As part of the Growth Enablement Organization at Keap, we serve the business by partnering to enable growth for Keap’s internal customers (our employees) in a simple and scalable way.


Objectives

  1. Accurately code and process all received invoices daily, within 1 error, monitoring daily reconciliation of Concur to NetSuite

  2. Maintain Concur Purchase Orders (PO); match, verify and process all required PO’s 

  3. Provide Top Notch AP Service; maintain [email protected] mailbox, responding to emails within 24 hours, uploading and saving all received invoices daily

The Work

  • Upload, validate and code vendor invoices in SAP Concur Invoice Automation system

  • Match, verify, and receive purchase orders

  • Monitor activity in the accounting system to ensure proper invoice processing, timely approvals, exception resolution, etc.

  • Manage special vendor payment requests different than standard payment terms

  • Investigate and resolve invoice or payment discrepancies

  • Reconcile accounts payable transactions with vendors statements

  • Review new vendor setup information for accuracy and completeness

  • Confidentially handle and record vendor banking information in accounting system

  • Maintain W9 files for annual 1099 reporting 

  • Maintain monthly master lease workbook, ensuring amortization schedules tie to the Balance Sheet, and import bills into accounting system

  • Complete daily reconciliation of Invoice Automation and ERP systems

  • Administer petty cash and employee gift card fulfillment

  • Provide top notch customer service when assisting internal & external business partners

Preferred Education and Experience:

  • Associates/Bachelors Degree

  • 1-2 or more years accounts payable experience

  • Intermediate Excel Skills

  • Strong analytical and problem-solving skills  

  • Working knowledge of ERP and expense reporting applications; NetSuite and/or SAP Concur experience a plus

  • Exercise confidentiality and discretion pertaining to knowledge of data and information in the role

  • Highly organized individual with a strong attention to detail and the ability to multitask

  • Adept at thinking critically and analytically

  • Able to manage multiple assignments and projects, while meeting established deadlines and requirements

  • Ability to work independently, as well as in a team-oriented setting and collaborate with upper management, executives, AP team members and business partners

  • A professional that is serious about growing professionally and taking on new challenges

This is a full-time position. Usual days and hours of work are Monday through Friday, between the hours of 8 a.m. to 5 p.m, with extended hours seldom required to achieve a deadline.
