How to automate it: Set up an automation so that this email goes out whenever you move a lead from one pipeline stage to another, such as “Meeting Scheduled” to “Meeting Follow-up.”

Following up with value proposition after a meeting

When to use it: Use this template after you’ve met with a lead and want to remind them about your discussion and the value you can provide them.

Subject: Something occurred to me after our meeting

Hi [first name],

It was great meeting you [yesterday, this week, last Tuesday, etc.].

Our conversation got me thinking about your [lead’s specific business challenge].

Listening to your story, I realized that we may be able to help you solve [lead’s specific business challenge].

Here are a few ways we can help:

  • [Bulleted list of features & benefits that pertain to lead’s business challenge.]

Could we schedule a call [link to booking page] sometime this week to discuss more?

Follow-up email template after no response

Asking clients for a referral

When to use it: Referrals are a lifeline to most small businesses, and a low-cost lead source. Use this email to ask a happy client for a referral.

Subject: Who can we help together [first name]?

Hi [first name],

Assisting customers with [the problems your business solves] is the reason I got into business, and I’m always looking for more people to help.

Who do you know who might also be interested in [benefit you provide]?

As a way to say thanks for referring me, I’d like to offer you [a referral incentive, if you have one].

Sales follow-up email series

A series of follow-up emails is more powerful because it increases the likelihood of your message coming through at the moment a lead is ready to respond.

When to send a follow-up email

If you want to follow up in a way that is helpful, without being a pest, consider the emails you send from your lead or client’s point of view. Make sure they are:

  • Relevant Your message should provide the information your lead or client needs right now. Anything about you should be clearly connected to results they care about.
  • Timely Your communications need to be delivered soon enough that you’re still fresh in their mind, with a little time in between to allow for the fact that they’re busy with other things too.
  • Frequent One follow-up typically isn’t enough. People are busy and forget to take action, or they might need multiple pieces of information to be ready to move forward.

Generally speaking, 1-3 days in between outreach provides a reasonable amount of time to be persistent but not annoying.
