Keap’s Zoom Integration: How It Can Level Up Your CRM Software and Streamline Your Workflows

The Problems We Noticed

Our product team is always trying to innovate and create software solutions that you actually want. When it came to scheduling, they knew we needed to improve the way Keap and Zoom interact.

Small business owners told us about two big problems they were having with scheduling that made the need for a Zoom integration clear:

  • Lack of privacy: Zoom's lack of privacy and security are bigger problems than many businesses realize. The safest thing you can do for your organization is to use a different meeting link for every meeting on your calendar. Unfortunately, the downside is that it’s time-consuming to manually create a new link when your calendar is booked and busy.

  • Internal organization issues: Sometimes, your team needs to access each other’s booking links. For example, someone may need your link to plug into an automation, or they may want to view your appointments in Keap and make necessary edits on your behalf. This is especially important if you have an assistant, admin, or receptionist who books appointments for your team. However, when there’s no way to easily manage one another’s appointments, processes can become unnecessarily cumbersome and tedious.

The issues above might seem small, but they occur more frequently than people expect. Fortunately, our new Zoom integration is the remedy.

How Keap’s Zoom Integration Solves Small Business Problems

When it comes to setting up virtual meetings, Zoom has become the top choice for many businesses and teams. It’s user-friendly, intuitive, and loaded with tools that make scheduling, hosting, and collaborating painless. Plus, it’s recognizable and trusted in the market, which makes your customers feel comfortable joining meetings.

Prior to our new integration, Zoom's benefits were slightly less impactful because the software didn’t fully integrate with Keap’s marketing automation platform.

That’s now a problem of the past, and the integration comes with two features that will make your life easier, increase privacy and security, and streamline internal workflows in every area of your business that utilizes video conferencing software.

First Thing’s First: How To Set Up Your Zoom Integration

Before we get into the major perks of this integration, you’ll have to know how to access it. Use the steps below to unleash it in your app:

  1. Log into your Keap app, select your avatar, and navigate to Settings.
  2. Click Integrations.
  3. Find the Zoom integration card and click Connect.
  4. Sign in to Zoom.

That’s all it takes to enable this new integration and enjoy its enhanced functionality, which you can find the details on below!

Appointment Integration

This helpful feature enables you to have unique meeting links for each of your appointments when you schedule them within your Keap app, but here’s the best part: You no longer have to waste time manually creating a different link for each meeting.

Instead, once you have turned on the integration, you can create a new appointment type that generates a unique link each time you schedule something new.

For example, to make a new type, follow the four steps below:

  1. Navigate to Appointments.
  2. Select Online in the Location section.
  3. Choose My Zoom Meeting Link.
  4. From there, you can paste your custom meeting link in the text box.

And then you’re off to the races. Your new Online Meeting Type will automatically populate with a unique link each time – no manual input necessary.

Pro-tip: If you need to update your existing appointments with your secure link, select Edit from the three dots in the upper right corner of the meeting you want to update. Then, just select My Zoom Meeting Link and click save!

Appointment Managers

When you activate your new integration and get Keap and Zoom communicating, you’ll also unlock the ability to manage others’ appointments.

Here’s how it works: Anyone in your app with a manager role or higher can see and manage other people’s calendars. The setup is simple. Just have your team share their calendars with your designated appointment manager(s) and then managers can create, edit, and view appointment types on their behalf. Appointment managers can also use others’ appointment types throughout the app, such as in automations or any place that requires a booking link.

Once you get in your app and start using this new functionality, you’ll notice how this small but mighty change enables your team to easily juggle complex schedules, provide greater transparency throughout your organization, and move faster without appointments falling through the cracks.
